The Administrative Assistant will provide full time general administrative assistance in support of various groups and individuals. The successful candidate will be highly self-motivated, organized, able to adapt to a consistently changing, fast-paced and dynamic environment.

Responsibilities

  • Provide administrative assistance to all staff; general office duties, facilities and misc. projects.
  • Reception desk coverage; answer and transfer calls, greet and sign-in visitors, sort and distribute mail, order office supplies, catering and coordinate daily lunch program.
  • Coordinate travel arrangements including hotel reservations, airfare, and rental car through preferred travel agency.
  • Manage employee lunch program including sourcing new vendors.
  • Work closely with other office related vendors such as office furniture and supplies, coffee and vending services.
  • Schedule and coordinate logistics for meetings and corporate events; reserve conference rooms, catering and provide meeting support.
  • Reconciliation and audit of company credit card.
  • Provide back-up coverage for the Executive Assistant
  • Schedule and coordinate logistics for meetings and corporate events; reserve conference rooms, catering and provide meeting support.
  • Conduct filing and data entry when necessary.
  • Perform other administrative tasks as needed.

Qualifications

  • HS Diploma/GED required
  • 3+ years of administrative experience required.
  • Proficient in Windows 2010, Microsoft Word, Excel and Outlook
  • MS PowerPoint knowledge preferred
  • SharePoint knowledge preferred
  • 2+ years of general accounting preferred
  • Expensify experience a plus
  • Ability to coordinate across organizational boundaries to complete a project or task.
  • High attention to detail
  • Ability to multitask
  • Ability to work independently
